POSITION SUMMARY

The Office Coordinator is responsible to the Director of Health Services and is responsible for coordinating the daily office administration of the Health Services Department.  Performs administrative functions of greeting and welcoming incoming patients, answering phones, and maintaining patient records. 


ESSENTIAL FUNCTIONS

  1. Schedule appointments for Health Services and Counseling Services and update demographic records for each patient. 

  2. Receive and process new student health records and input receipt of records into Banner and/or Slate Program. 

  3. Maintain current patient records by entering and uploading documents into the Electronic Medical Records (EMR). 

  4. Coordinate with the IT department the uploading of bulk information to the Practice Fusion System.

  5. Maintain and keep all Health and Counseling records confidential and in compliance with HIPAA regulations.

  6. Coordinate duties of work study students and assist with orientation and supervision of students 

  7. Maintain and process work injuries on OSHA Form 301, forwarding to Human Resources and Safety & Security.

  8. Enter appropriate immunization records into the Georgia Registry of Immunization Transaction and Services (GRITS).

  9. Coordinate and direct on campus Blood Drives by scheduling and reserving required campus locations. 

  10. Process Facility Use Request Forms (FURF) and Facilities Management Work request. 

  11. Enter Health Services charges into Banner 

  12. Compile monthly and year end reports of services provided by Health Services. 

  13. Assist with New Student Orientation each Semester.

  14. Perform any other duties assigned by the Director of Health Services.

  • Strong interpersonal skills, with the ability to coordinate and build relationships among a wide variety of individuals (both internal and external)

  • Able to type a minimum of 40 w.p.m


PHYSICAL WORK ENVIRONMENT

  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • Remain in a stationary position at least 90% of the work day.

  • Lifting: occasionally; classified as light, lifting or lowering an object from one level to another (includes upward pulling) up to 20 lbs.


Expected Hours of Work

  • Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m. 

  • Occasional evening and weekend work may be required as job duties demand.


REQUIRED EDUCATION/EXPERIENCE

  • High School Diploma or Equivalent

  • Minimum 2  years office experience

  • Working knowledge of Google Suite, Microsoft Word, Excel, and PowerPoint


PREFERRED EDUCATION/EXPERIENCE

  • Two years of College

  • Medical Office Experience
